ZUGFeRD (European Norm EN 16931) stands for “Zentraler User Guide des Forums elektronische Rechnung Deutschland”. It is a standardized, hybrid data format for electronic invoices (e-invoices). ZUGFeRD combines the advantages of two worlds in a single document:
- Visual (PDF): A document that looks like a normal invoice to humans and is legible.
- Machine-readable (XML): An XML file containing all invoice data in structured form is embedded in the background. Accounting systems can read and process this data fully automatically without having to type in values manually.
The most important advantages:
- Automation: Elimination of manual data entry – saves time and minimizes transmission errors
- Legal compliance: Meets the legal requirements for modern e-invoices
- Flexibility: The file name for e-mail and download is .zpf.pdf. This allows the user to see straight away that it is an eInvoice, even if they do not yet use automated accounting software themselves
